Legal Question in Employment Law in California
Personnel ID's
As our company is growing, we are starting to have a difficult time identifying our employees. We would like to take a picture of each employee and place it in a seperate file for identification purposes only and will be kept away from their personnel file. The picture will include by its side: name, title, SSN & birthdate. HR will be the only ones with access. Before we implement this new idea, I would like to know whether there is any legal stipulations behind it. Please let me know. Thanks.

Re: Personnel ID's
As long as the employees' information is used for legitimate business purposes, such as for security in the workplace, I see no problem with your plan. A policy should be drafted and the employees should be informed, in advance, what you intend to do, so they cannot claim that they have a "reasonable expectation of privacy" with regard to how you intend to utilize their photos and personal information.
