Legal Question in Legal Ethics in California

Four couples have put together a youth sports club. One couple disagrees to give a refund letter that we may not have a division for their child and to give it in writing because it is their cousin. They don't want to hurt their feeling as they have already verbally told them and don't want to distraut them further. Two couples say to notify ASAP their option to refund immediately or wait till specific date and automatic refund will occur if in fact a division is not created.
