how do I write out a defense for not doing inventory and just copying off the computer?

By asking the question in that somewhat confusing manner, you show that you need an experienced attorney to take care of you in court, because you apparently don't realize what it takes to present a 'defense' in court. If this is really in a criminal case, your 'defense' is not ''written', but made through direct and cross examination of witness testimony and admissible documents, plus persuasive legal and factual argument at trial, or with Offers of Proof in plea bargain negotiations with the prosecutor during various pre-trial proceedings and Motions, using whatever credible facts and evidence you have available.
I suggest you consult with local criminal defense attorneys and follow the advice of the one you hire. While you technically have the right to represent yourself in court, the judge and 'system' will not be very tolerant of anyone doing so in a less that workmanlike knowledgeable manner in accordance with the rules of evidence and proceeders that all attorneys are expected to know. A ProPer representing himself is an 'attorney' for that purpose.
